Employees transferring non-current records from Drexel offices and departments
In order to preserve the history of the university, administrators and staff are strongly encouraged to retain paper and electronic files for the purpose of eventual transfer to the archives. If you have any questions related to the preservation of your office or department records, please contact us.
The following types of material are actively being sought by the archives:
- Constitutions and bylaws, minutes and proceedings, strategic plans, reports, and lists of staff, students, and/or faculty
- One copy of all publications, including programs, newsletters, brochures, and posters
- Photographs, visual media, and audio recordings that document Drexel University events, people, and places
- Records of both formal and informal organizations or committees facilitated by Drexel University staff
- Newspaper clippings, press releases, and other forms of news media
Please note:
- Many types of records are required to be retained according to the records retention policy of Drexel University. All record types marked permanent in this policy will be accepted by the university archives.
- Materials can be submitted as electronic files. For assistance in archiving and preserving electronic files, please contact us.
- Photographs and other visual media can only be accepted if properly identified.
- The university archives does not generally accept three-dimensional objects (e.g., caps and gowns, trophies, etc.). Please ask before transferring three-dimensional objects.
If you have any questions, please call the Archives at 215-895-6706. University Archives staff are also available to consult with offices and departments regarding all aspects of arranging and storing office files for long-term preservation.
Note on restricting access to records: The Drexel University Archives and Special Collections discourages unreasonable restrictions on access and use of material but may accept as a condition of acquisition clearly stated restrictions of limited duration and may occasionally suggest such restrictions to protect privacy. The university archivist performs their responsibilities in accordance with statutory authorizations and institutional policies. If you have material that you believe contains sensitive information, please discuss options regarding the restriction of records with the university archivist before transferring the material to the archives.
